Software Application Specialist
Reporting to the Senior Manager of Central Support Services, the Software Application Specialist is responsible for a variety of support functions and plays a key role in ensuring the smooth operation of our organization’s technology and information systems. The Specialist is a motivated and adaptable individual that will design and implement processes and systems to support and advance HCA organizational goals, programs and initiatives. Their expertise in software solutions, system development, integration, and optimization will ensure the organization can optimize our business processes and information systems. This position also plays a key role in collaborating with HCA’s Information Technology Managed Service Provider (MSP) to assist with the strategic management and maintenance of HCA’s IT systems to enhance operational efficiency and data security.
Responsibilities
- Develop solutions using Microsoft 365, SharePoint Online, and the Power Platform (Power Apps, Power Automate, Power BI).
- Configure and Administer HCA’s Office 365 Teams channels, Sharepoint File Storage, Collaboration Spaces, and Communication Sites.
- Assist HCA’s IT MSP with Endpoint Management and Mobile Device Management (MS Intune)
- Establish and manage software solutions (e.g Enterprise Content Management (ECM)), to organize, store, and retrieve documents.
- Apply scripting languages to solutions, such as Javascript, Python, etc.
- Assess, configure and implement commercial off-the-shelf software to meet business needs, and custom-build solutions as appropriate.
- Assist with implementation of policies and procedures to safeguard information assets and comply with regulatory requirements.
- Assist with implementation of strategies for data lifecycle management, including archival and disposal processes.
- Collaborate organization wide and partner with agencies to gather system requirements and define appropriate technical solutions.
- Assist with preparation and evaluation of requests for proposal for new technology solutions, to ensure vendor submissions align with organizational goals and needs.
- Liaise and be primary contact with HCA’s IT MSP across multiple projects including but not limited to: regular maintenance of IT Equipment and Systems including hardware lifecycle management, telecommunications infrastructure, management of cybersecurity protocols, audits and assessment of compliance with industry standards and data protection regulation.
- Administer HCA’s videoconferencing platform accounts, HCA’s internet and digital phone service (VoiP).
- Develop and maintain user guides, technical documentation and provide training to staff on software application tools, industry best practices and management procedures to help foster a culture of information governance and user proficiency within the organization.
- Participate on HCA’s IT Project Management Review Team (PMRT), attending meetings of the Conservation Ontario and Southern Ontario Conservation Authorities IT/IM/GIS working groups.
- Stay informed on industry trends, and continually research, recommend and leverage and implement new technologies, tools and practices to enable productivity efficiencies, and to improve application and delivery of digital services.
- Other tasks and initiatives as assigned by the Senior Manager of Central Support Services to support the needs of the organization.
Qualifications
- Post-secondary education in the form of a college diploma and/or university degree, in Computer Science, Software Engineering or a related field.
- Intermediate-level Microsoft Certifications relating to Microsoft Azure and Microsoft 365.
- Minimum 3-5 years of experience in Information Technology / Information Management.
- Experience in developing solutions with SharePoint Online, Power Platform, and Microsoft 365 integrations.
- Excellent analytical and problem-solving skills with attention to detail.
- Effective communication skills and ability to collaborate across diverse teams.
- Experience handling confidential and sensitive information.
- Exemplary time management skills, and proven ability to manage and adapt to changing issues and priorities.
- Experience with data visualization and reporting tools (e.g. Tableau, Power BI) is preferred.
- Knowledge of information security principles, practices and regulatory requirements is an asset.
- Knowledge of network administration, databases, and system security is an asset.
- A Valid Ontario Class G Driver’s License is required.
Working Conditions
This position will be based at 838 Mineral Springs Road, Ancaster Ontario. Work hours are 7.5 hours per day for a total of 37.5 hours per week, with occasional attendance to evening meetings during the year as required. Attendance at evening Board and Subcommittee meetings, particularly those concerning agenda-specific or general area topics, is also expected.
Salary
The position offers a salary range of $74,367 to $86,211 commensurate with experience and education. Progression will be based on merit and is reviewed annually. Additionally, yearly cost-of-living adjustments (COLA) may be considered.
Benefits
This position is eligible for benefits as outlined in HCA’s Employee Handbook as it pertains to a full-time position. Most benefits become effective after the 3-month probation period (health, dental, disability insurances and life insurance); however, the defined contribution pension plan requires one year of service.
